Rules
The Teaching & Learning Commons users are expected to follow the usage and booking guidelines.
- All AKU faculty and staff can book the following TLC spaces for academic activities:
- Peer Play Place | Both sections (capacity: Max 30 persons; Hyflex teaching/VC facilities available)
- Peer Play Place| Hall A (capacity: Max 15 persons)
- Peer Play Place | Hall B (capacity: Max 15 persons)
- Inspiration station (capacity: Max 4 persons)
- Co-creation station (capacity: Max 4 persons)
- Collaboration Zone (capacity: Max 6 persons | Priority HTD-Teachers Academy)
- Digital Learning Innovation Studio (capacity: Max 4 persons | Priority Blended and Digital Learning)
- Students can book the following TLC spaces for academic activities:
- Inspiration station (capacity: Max 4 persons)
- Co-creation station (capacity: Max 4 persons)
- Collaboration Zone (capacity: Max 6 persons | Priority HTD- Teachers Academy)
- Digital Learning Innovation Studio (capacity: Max 4 persons | Priority Blended and Digital Learning)
- We request you to submit the booking form at least 2 weeks prior to your session. This will allow you sufficient time to make alternate arrangements in case the requested space is already booked.
- Upon submission of this form, an email will be sent acknowledging that your request has been received. The TLC staff may contact you for further information if required. If the space you have requested is available, you will receive a booking confirmation via email.
- For PPP, Collaboration Zone and Digital learning Innovation Studio, HTD-TA and QTL_net activities will be prioritized. Also, one section of the Peer Play Place is suitable for HyFlex teaching. Therefore, if a request is received for HTD-TA and QTL_net activities or HyFlex teaching, QTL_net may negotiate with the party to move their activity to a different location.
- If a room is no longer needed, the requester should cancel the booking promptly to allow others to use the room.
- The setup and transition time will be required before and after your event. Make sure your room reservation accommodates 30 minutes prior to, and after your event.
- Organizing furniture, equipment, or stationery according to your needs is your responsibility.
- No food or beverages are allowed inside these spaces.
- Please leave the room in good condition, ensuring your participants have not left any garbage or other materials, and that chairs (and/or tables) have returned to their original orientation. We appreciate your cooperation in maintaining a clean and organized environment for future users of the space.

Equipment borrowing policy
- Equipment requests should be made at least two days in advance.
- Due to equipment scheduling conflicts and limited resources, we cannot guarantee orders placed after the deadline of two days.
- Equipment is booked on a first-come, first-served basis.
- Last-minute requests can be honored only if the equipment is available.
- Equipment may be picked up from TLC between 8:00 am to 5:00 pm, Monday through Friday.
- Equipment that is not picked up at the arranged time will be lent out to those on a waiting list.
- Information on whether a piece of equipment is available for loan may be obtained by contacting TLC at ext. 4067, 4443 or 4449.
- Requests to reserve equipment must be made via email at tlc.bookings@aku.edu.
- Please ensure that you have a booking confirmation via email of the required equipment from TLC staff.
- At the time of check-out, a valid AKU identification card must be presented, and the required equipment signed out.
Responsibility of users who check out equipment:
- Individuals who sign out equipment are responsible for it during the loan period. Any damage or loss during the loan period will be charged to the user.
- It is the responsibility of the user to pick up and return the equipment to TLC regardless of the location of the event.
- All borrowed equipment must be returned by the time indicated on the sign-out log and in good working order.
- Untimely return of equipment without a valid reason could result in withdrawal of booking privileges.
The TLC staff must be informed of any equipment malfunctions as soon as they occur. We reserve the right to charge a lender for lost, stolen, or broken equipment.
Requests for equipment by students must be made by the official AKU email account and copied to relevant faculty (mandatory), who require the equipment as part of a course.
If the reserved equipment is not needed, it is requested that the reservation be cancelled as early as possible so that the equipment can be loaned to other users.
The user should know in advance how to operate the equipment borrowed. However, users are welcome to make an appointment with a member of our staff to learn how to operate any equipment before borrowing.
